How to Evaluate and Select a Software Vendor

NIYO1 min read

Choosing a software vendor is a long-term commitment. A structured evaluation reduces the risk of picking a product that does not fit.

Write down your requirements

Separate must-have features from nice-to-haves, and include non-functional needs such as security, performance and local support.

Shortlist and demo

  • Invite a small number of vendors to show how their product handles your real scenarios
  • Involve the people who will use the system daily
  • Score each option against the same criteria

Look beyond the licence fee

Consider implementation, training, integration, support and exit costs over several years.

Check references and contract terms

Speak to existing customers, and review terms on data ownership, service levels and price increases.

A careful selection process takes time, but it is far cheaper than replacing the wrong system later.
